The NEOUCOM Records Retention schedule found on this page was developed to assist you in determining the retention period for records created at NEOUCOM. The schedule conforms to state and federal law. The schedule builds upon recommendations set forth by Ohio's Inter-University Council (November 2000). By working with various departments and divisions, the Records Retention Committee was able to develop a schedule that includes records unique to NEOUCOM and ones that conform to NEOUCOM policy. Records that have been kept for the required length of time should be disposed of in the appropriate manner.
The retention schedule is organized into eight functional groupings according to the way in which a record series functions. All record series in the schedule are grouped into these eight major functional categories based upon the functional purpose for which any record was originally created.
Please note that it is the responsibility of each department to develop an inventory of the records unique to that department (i.e., the records it createsthe Record Copy). Record Copy is defined as the most complete or official copy of the record. The record copy is almost always the original document. The only exception is a copy of an original document that the College has filed with an agency elsewhere. For example, the College files all its original property deeds in Columbus and the Portage County Recorders Office. Only a copy is maintained by the General Counsel. All other copies should be destroyed as soon as they are no longer required to carry out an active function.

BE IT RESOLVED, that the Board of Trustees of the Northeastern Ohio Universities College of Medicine adopt the Records Retention for Public Colleges and Universities in Ohio: a Manual developed by the Inter-University Council of Ohio in 1992, which may be amended as necessary by the College's Records Retention Committee.
